Customer Service Representative / Dispatcher

Hyper Flow Service is seeking a detail-oriented, tech-savvy, and highly organized Customer Service Representative / Dispatcher to join our growing team. You'll be the first point of contact for our customers, responsible for scheduling jobs, coordinating with technicians, and ensuring excellent service from the first call to job completion. We use tools like Google Calendar, Gmail, ServiceTitan, and online lead platforms (Yelp, Angi, etc.) to manage daily operations.
Responsibilities
- Answer all incoming phone calls, emails, and online inquiries in a professional, courteous manner.
- Schedule and confirm customer appointments using Google Calendar and ServiceTitan.
- Assign jobs to the correct technician based on skill level, location, and availability.
- Monitor the dispatch board and adjust the schedule to maintain maximum efficiency.
- Respond to customer emails through Gmail and marketing apps (Yelp, Angi, company website, etc.).
- Immediately return calls from our answering service (AnswerForce) and log job details.
- Inform customers of delays, reschedules, or technician changes in a timely, proactive manner.
- Ensure accurate data entry and job notes in ServiceTitan.
- Confirm job completion, follow-up appointments, and technician process compliance.
- Maintain communication with technicians throughout the day to support field operations.
- Notify management of lunch breaks and accurately record time using the ServiceTitan time clock.
Qualifications
- 1+ year of experience in dispatching, scheduling, or customer service preferred.
- Strong familiarity with Gmail, Google Calendar, and CRM/dispatch software (ServiceTitan preferred).
- Excellent communication and problem-solving skills.
- Highly detail-oriented and able to maintain accuracy under pressure.
- Ability to multitask and remain organized in a fast-paced environment.
- Friendly, professional demeanor with outstanding customer service abilities.
- Self-motivated, dependable, and a true team player.
- Fast learner who adapts well to new technologies and systems.
